This Privacy Policy explains how BrokerPost AI (“BrokerPost,” “we,” “us,” or “our”) collects, uses, stores, and shares personal information through brokerpostai.com, the Agency Marketing Preview form, and related communications.

When you request an Agency Marketing Preview or contact BrokerPost, we may collect:

• Your name, business email address, and optional phone number.
• Your brokerage or agency name, website, location, and province or territory.
• Your main services, marketing challenge, and information about who currently handles marketing.
• Your consent record, submission date, communication history, and sales status.
• Business information you voluntarily provide during onboarding or service delivery.

Our hosting and service providers may also process routine technical information such as IP addresses, browser information, timestamps, and security logs.

2. Why we use the information

We use information to:

• Assess whether a brokerage is a fit for the BrokerPost service.
• Prepare and deliver an Agency Marketing Preview.
• Respond to questions and communicate about BrokerPost services.
• Onboard and serve paying clients.
• Maintain lead, client, billing, support, and operational records.
• Protect the website and systems against misuse, fraud, and security threats.
• Meet legal, accounting, and regulatory obligations that apply to BrokerPost.

3. Consent and communications

When you submit the preview form, you consent to BrokerPost using the information to process the request and contact you about the preview and related BrokerPost services. You may withdraw consent for optional commercial follow-up at any time by replying “unsubscribe” or emailing hello@brokerpostai.com.

Transactional messages needed to respond to a request or administer an active service may still be sent where permitted.

4. How information is shared

BrokerPost does not sell personal information. We may use service providers that support website hosting, forms, Google Apps Script, spreadsheets, email, cloud files, automation, analytics, payment processing, and AI-assisted drafting. These providers process information on our behalf for defined business purposes.

5. AI-assisted processing

BrokerPost may use AI systems to help organize business information and draft marketing material. We limit inputs to the information reasonably needed for the work and instruct clients not to provide policyholder or sensitive claims information. Human review remains part of the BrokerPost process.

6. Storage and international processing

BrokerPost operates from British Columbia, Canada. Some service providers may store or process information in Canada, the United States, or other jurisdictions. Information handled outside Canada may be subject to the laws of the country where it is processed.

7. Retention

We keep personal information only as long as reasonably necessary for the purposes described in this policy, to maintain business and consent records, resolve disputes, enforce agreements, and meet legal or accounting requirements. Information that is no longer required will be deleted, anonymized, or securely archived as appropriate.

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information, including restricted access, account security controls, and separation of client records. No internet or storage system is completely secure, so absolute security cannot be guaranteed.
